ILL Requests for Best Sellers, Just-Published Items & Multiple Copies

It has been brought to the attention of the Access Pennsylvania Database Support Center that many participating libraries are receiving requests for best sellers, just-published items and for multiple copies of the same title. It is important to keep in mind that the Pennsylvania ILL Code of 1994 stipulates in Section 6.7 that "The requesting library should not request a loan of the following types of material on ILL ... Best sellers Just-published items Multiple copies of the same title ..." Your fellow librarians greatly appreciate your adherance to the rules of the Pennsylvania ILL Code. Shipping ILL Requests It has been brought to the attention of the Access PA Support Center that some libraries are sending and returning requested items to the wrong library. These libraries are then responsible for paying shipping costs to get these items to the correct libraries. Making sure you are shipping or returning requested items to the correct library takes seconds. After successfully performing the shipped action, responders may click on the print button for the request and cut and paste shipping labels. When returning items, requesters may click on the print button for the request and cut and paste shipping labels.

IDS Member Changes and Mail Bag Quotes

There are many changes to our IDS Member Information. IDS sent the data to members via our listserv, but in addition, UPDATES are being posted on our IDS website www.bucksiu.org/libraries/ids . The First Quarter 2007 Update is now posted. Please check this update for address additions, deletions, and changes. There is also a PDF file of the IDS Directory 2007 available for members to download if a paper copy is desired. The most current up-to-date information is the searchable Directory also on the website. In addition to this address information, the new quotes for mailing bags are also posted from Brodart and Demco under the subheading "Mailbags". IMPORTANT: Requesters Only - Cancelling Requests

If the shipped action has not yet been performed on a requested item that is no longer needed, you must cancel the request. Remember, canceling requests is a TWO-STEP process in VDX. The first, and most IMPORTANT, step is to delete the remainder of the Rota configuration. Follow the these steps to delete the remainder of the Rota configuration:

  1. Log into VDX. At the Request Search screen, highlight Requester only as Your Library's Role to bring up your Requester Work Queue. Click on the number in the Pending/Total column. Locate the item to be canceled and click on the Action button. Select Local Change Request Details from the Actions available box and click submit. Click the Rota button on the Action : Local Change Request Details page. Highlight all of the library names in the Preliminary rota box (which does not include the current potential responder) and click delete.
  2. When the Preliminary rota box is empty, click the submit button.

Now that the Rota is empty, the second step of the cancel process is to perform the cancel action, notifying the current potential responder that the item is no longer needed.

  1. Click on the Action button for the request you want to cancel. Highlight Cancel in the Actions available box and click submit. Enter a note in the Notes field if you want to explain the reason for canceling the request, then click the submit button.
  2. The request will appear under Cancel pending in your Requester Work Queue.

Once the responder performs the cancel reply-yes action, the request will appear in the Cancelled/Total column of the Requester Work Queue. Bring up the Cancelled results list and click on the complete button to remove the cancelled request from your results list. These instructions are available in the VDX 2.7 Manual, available at: http://www.accesspa.state.pa.us/VDX2.7/section2.htm#acr.

Please note: software enhancements are expected in the next release of VDX (due this summer) which will greatly simplify the request cancellation process. We eagerly await this improvement as we are sure you do also.
